WPCoder - PSD to WordPress Coding

Dear Customer,

To guarantee a pleasant experience for both our clients and our developers, and for everyone to be on the same page throughout your project, we have decided to create a simple agreement that outlines some of our policies and the process a project goes through at WPCoder.

This isn't a contract, and no, if you don't follow it exactly as stated, we're not going to sue you for a ton of money to get rich, but we hope you take this as seriously as we do.

A. Projects

The following is an overview of the process a project goes through, from start to finish:

  1. The client (that's you) submits his or her project via our Order Form.
  2. The project is entered into our database and shows up under Pending Projects in our Client Area (see Section C for more about our client area).
  3. Within 24 hours (usually a lot less) one of our managers will contact you and go over some project details.
  4. The manager will assess the project's details, including template complexity, requested features, and the requested completion date.
  5. A final quote will be given to the client by the manager. If agreed upon, an invoice for 50% will be sent to the client (see Section D for more about invoicing).
  6. The manager will then assign one of our developers who will work on the actual coding of your project.
  7. The developer will report back to the manager as soon as he is done, and the client will be shown the final product. Periodical updates may be shown upon request.
  8. If the client would like reasonable revisions to be made, they will be made as soon as possible. More complex revisions that were not detailed in the provided files or notes, as well as any adjustments needed more than a week after completion, will be given a custom quote.
  9. Once the client is satisfied with the final product, the second invoice will be sent out.
  10. After the manager has confirmed both payments have been received, the client will receive the project files.
  11. If the manager sees the project has been fully completed, he will mark the project completed and it will be stored in our archives.

B. Clients

Like any other company or business, our clients mean everything to us. We want to ensure a positive experience for all of our customers for two main reasons: your loyalty and our reputation.

To make this possible, please be considerate of our developers. They aren't machines (contrary to popular belief, the machine on our homepage does not do the developing)! They're normal people who have lives. Sometimes we'll encounter projects that are more complex and require more time and effort, and in-turn, might not be able to be finished by when you need it. Timeframes will be discussed upon project submission. If we simply cannot finish the work before your deadline we will tell you. The faster you need it the higher your quote will be.

Please do not search out any of our developers and contact them personally, whether it's through MySpace, Facebook, Twitter, personal e-mail, or other public means of communication. Keep all communication within our client area. That way, everything is kept private and professional.

C. Client Area

Unlike most of our competitors, we use a custom-built client area to communicate with our clients. It's an easy-to-use system that lets you track project status, communicate with developers, and keep all projects and invoices organized.

The client area can be found here and can be accessed 24/7 (except for the unlikely event that our server is down). A username and password will be provided once you've agreed with the terms of this document. When a message has been left on your project by a manager, you will be notified via e-mail.

We've done our best to make sure the client area is as easy to use as possible, but if you have any questions about how to use it, e-mail us. Since it's custom-built we're always looking for ways to improve it as well.

D. Invoicing

For each project, we send out two invoices. The first invoice will be sent out once a manager has touched base with the client and agreed upon a total project cost. The second invoice will be sent out once you're done with the project and the client approves. Each invoice is sent for 50% of the total project cost. We handle all the invoicing for projects. Since we keep records of income and expenses, we like to handle all payments.

All payments are requested and completed via PayPal, unless otherwise requested.

E. Timeframes

Please allow an extra day or two for revisions before you need to show a site to a client. It's hard to get a WordPress theme to look and function perfect the first time, so do not say you need it by next Tuesday and Tuesday is when your client meeting is. Rather, in that situation, request that theme be finished on Friday so we have Friday and Monday to work with you and adjust the theme.

Our developers work Monday-Friday (excluding major holidays). E-mails are answered seven days a week. If you require work to be done over the weekend, additional fees will apply (discussed with the developer).

F. Refunds

If you are extremely unsatisfied with our work at any point during the project, we will discuss a partial refund with you. However, no work will go completely unpaid so full refunds will not be given unless work hasn't begun yet.

G. Conclusion
